Who we are and what this policy covers

Roundtable & Advisory LLC (“Roundtable,” “we,” “us”) is an advisory firm focused on cities, real estate, economic development, placemaking and innovation. We also organize business summits, including The Newark Summit, The Jersey City Summit and The Queens Summit. Our mailing address is 101 Hudson Street, 21st Floor, Jersey City, NJ 07302.

This policy explains what personal information we collect, how we use and share it, and the choices you have. It covers our websites (including roundtableadvisory.com and thenewarksummit.com), our advisory services, events, sponsorships, speaker programs, invoices and payments, and the business bank account we connect through Stripe Financial Connections. It does not cover other companies’ websites that we link to.

Information we collect

We collect information you give us, information created when you work with us, and limited information from service providers and public sources.

  • Contact and business details: name, job title, company, email, phone and mailing address when you register, sponsor, speak, subscribe or contact us.
  • Event registrations: ticket orders and attendee details (name, email, company, ticket type) from our ticketing provider.
  • Sponsorships and invoices: billing contacts, sponsorship packages, invoice amounts and payment status.
  • Card and bank payments: these are processed by Stripe. We do not see or store full card numbers or bank login credentials; we receive payment confirmations with limited details such as amount, date and payment method.
  • Checks: when you pay by check, we record the payer name, amount, check number, check date and memo, and may keep a photo of the check. A document-reading service provider may read check photos to fill in these details for us.
  • Bank deposit records: transactions in our own business bank account, described in the next section.
  • Speaker materials: name, title, company, headshot, logo and biography we use to promote an event.
  • Website and email activity: our websites may use cookies and similar technologies to run the site and measure traffic, and our email provider may record whether our emails are delivered, opened or clicked.
  • Public sources: business contact details from company websites and professional networks, used to invite people to our events or offer sponsorships.

Bank account data through Stripe Financial Connections

We use Stripe Financial Connections to link our own business checking account so incoming payments can be matched to invoices automatically. Roundtable & Advisory LLC is the only account holder we link; we do not ask sponsors, attendees or anyone else to connect their bank accounts.

  • What we access: account details (bank name, account type and last four digits), balances, and transactions (amount, date, description and status). Access is read-only; we never see or store bank login credentials.
  • Why we use it: to match deposits, such as sponsor checks, to open invoices, mark those invoices paid, and flag returned or bounced items. We use this data only for our own bookkeeping and payment reconciliation.
  • Information about payers: a deposit description can include a payer’s name or reference. We use it only to identify which invoice a payment settles.
  • Where it is stored: with Stripe and in our CRM (Salesforce), both in the United States. We do not store this data outside the United States.
  • Sharing: we do not sell this data or share it with anyone for their own purposes. Only Stripe, which provides the connection, and Salesforce, which hosts our CRM, process it on our behalf.
  • Retention and disconnection: we keep bank transaction records only as long as needed for accounting, tax and legal purposes (generally up to seven years), then delete them. We can disconnect the account in Stripe at any time, which stops new data from being shared.

Stripe’s handling of this data is governed by the Stripe Privacy Policy. Stripe explains who can access linked-account data, and how to disconnect an account or request deletion, in this support article. If you believe an account was linked without permission, or you want related data deleted, contact us (see below); we will act on the request and pass it to Stripe where needed.

How we use and share information

We use personal information to run our events and business, and we do not sell it.

  • Run events: registration, check-in, badges, schedules and event updates.
  • Manage sponsorships and speakers: proposals, contracts, invoices, payment tracking and event promotion, including speaker graphics and announcements.
  • Process and reconcile payments: confirm card, bank and check payments and keep accurate financial records.
  • Communicate: newsletters, invitations and event news. Every marketing email includes an unsubscribe link.
  • Operate and protect our services: maintain our websites, prevent fraud and misuse, and meet legal, tax and accounting obligations.

We share information only in these cases:

  • Service providers that work on our behalf and may use the information only to serve us: payment processing and Financial Connections (Stripe), CRM (Salesforce), event ticketing, email delivery, cloud file storage, and document reading for check photos.
  • Event promotion: speaker names, titles, companies and photos appear in our event marketing with the speaker’s agreement.
  • Sponsors and partners: we share attendee information with a sponsor or partner only when we tell you at registration or you agree to it.
  • Legal reasons and business changes: when required by law, to protect our rights or others’ safety, or as part of a merger, sale or transfer of our business.

Retention and security

We keep personal information only as long as we need it for the purposes in this policy.

  • Contacts and event records: while you stay in touch with us and for a reasonable period afterward, unless you ask us to delete them sooner.
  • Financial records: invoices, payment records, bank transactions and check photos, generally for up to seven years for tax and accounting purposes.
  • After that: we delete the information or keep it only in a form that no longer identifies you.

We protect information by limiting access to authorized staff with individual logins, encrypting data in transit, and relying on the security controls of the providers that host our data. Our bank connection is read-only and runs through Stripe, so we never handle bank login credentials. No system is completely secure; if a breach affects your information, we will notify you as the law requires.

Your choices and rights

  • Marketing emails: unsubscribe with the link in any email, or contact us.
  • Access, correction and deletion: ask us for a copy of your personal information, to correct it, or to delete it. We may keep records we are required to retain for legal, tax or accounting reasons, and we will tell you if we do.
  • State privacy rights: depending on where you live, state law may give you further rights. We will respond to requests as those laws require and will not treat you differently for using them.
  • Verification: we may ask you to confirm your identity before acting on a request.

Our events and websites are for business professionals. We do not knowingly collect personal information from anyone under 18, and we will delete it if we learn we have.

Changes to this policy and how to contact us

We may update this policy when our services or the law change. We will post the new version on this page with a new effective date and, for significant changes, give additional notice where appropriate.
